If you intend to come back and maintain your membership with TarValon.Net, please do so by April 5, 2025. By this date, we will have been returned from hiatus for a month. If you have not made an account by this date, we will assume you have decided to take a break or not return to the community. We will be pulling a list of registered members, and adjusting permissions in Discord and in the Library to reflect current membership. For Discord, this means that your roles will be removed and you will be given the guest role. For the Library, any editing access will be removed.

After this point in time, we will begin reaching out to unregistered EU and UK members to ask if we can keep membership data or not. If a member says yes, we will maintain membership records. If a member says no or does not respond, we will remove membership data in order to be compliant with GDPR.

A membership clean-up will take place in the future, after we have a better picture of what our EU and UK members want regarding their data.

Additional clarification: As stated above, a membership clean-up will happen "in the future." I didn't specify more than that because I don't have a set time as of yet. As with past membership clean-ups, if you are not active you will be made inactive in the Library. But you can come back at any time and regain whatever level of membership you were at when you stepped back. We will be adjusting Discord permissions and Library permissions (as in for editing accounts) after April 5th. And additional clarifications for members covered by GDPR are specified above.

Does this mean that folx who don’t create an account will be retired and have to come back as Citizens if they choose to come back?
 
It depends on where they reside.

If a member is from the US, or anywhere not in the EU or UK -- then while they will eventually be cleaned up, they may return in the future and return to membership at whatever rank they left. If they are in the EU or UK, as stated above, we will be reaching out to ask if we can keep their membership data. If they tell us "no" or do not respond, those members will no longer have accounts and will need to start over again if they return. If they tell us "yes," then they will be handled the same as non-EU/non-UK members. This is because of GDPR.

Can we assume that based on the above, the members not subject to GDPR, will have their library pages kept, but their status switched to retired?

I know of a fair few people on long term LoAs who likely won't be aware of the hiatus/reopening but would probably want to keep their library page.

And then for the members subject to GDPR, if they respond no/no response, their pages will be archived/purged from the library?

I do appreciate the seriousness the admins are taking over GDPR in this regard.
 
Retired used to mean you quit the site. Members not subject to GDPR that do not make an account will be able to come back in the future if they choose to; we will keep records of their membership to ensure this. Members that quit the site are required to start over.

If members subject to GDPR tell us they do not want us to keep their data, we will purge it. If they do not respond, we will purge it. Toral recently worked out a process to more fully remove data from the Library wiki.

Can we do some kind of mass outreach via email or something before the cutoff? I know you’re planning on reaching out to Euro members but what about everyone else?
 
This seems kinda fast - I assume because of regulatory requirements?

May I ask why such a short time? Personally, I'd suggest 3 months.
 
I can't remember off hand but I am going to guess it has to do with gdpr time frames and complying. I might be wrong though
 
GDPR had been around for years, we have a lot of inactive european members who haven't been contacted before this, so I'm assuming it's not because of a change in the GDPR regulations (which I'm not aware there has been a change). Therefore I believe it's likely just a timeline set by Admins based purely on it being a month since the relaunch of the site and needing to make a start on ensuring compliance with GDPR is actually achieved. :cheeseeni:
 
To be compliant with GDPR laws (from a UK perspective) all that is needed is to remove "identifiable information"... So real names and email addresses. Not sure why the accounts can't lay dormant instead of being deleted/retired.

In effect all those that do not sign back up "could" be listed as MIA and when/if they chose to reinstate their membership would be reinstated to where they were.

I, however, don't know how information is stored technically, which could be the issue. Though there could still be work arounds to protect positions individuals have worked hard for. Happy to liaise. I deal with UK GDPR regs daily.

We're going to start reaching out after April 5, 2025. There won't be an official cleanup for at least 3 months. We wanted a window of time to make efforts.

As per members on our Board who also work with GDPR, they felt a bit differently. You are welcome to liaise with @Xander Silverstar about this.
