Out of curiosity, as someone who simply knows the concept exists and not how much it costs or what kind of expertise and time commitment it requires, I'm wondering: Would it be possible to simply host and run our own mail server? There seem to be various articles out there on the Web about it, though I don't know enough to tell the good advice from the bad.

We'd be looking at $1440 a year just to cover 20 accounts. That wouldn't even dent all Officer/Director/Admin stuff alone. So no.

Just out of interest but can you setup forwarding for those accounts from the website hosting (if it includes SMTP) for those that have and use them actively? Theyd need to provide a forwarding address at least to send on to but at least theyd not lose access. Its all going to depend on the hosting solution TV.net has though as whether this is possible/would cost more.

But as a point of note for those affected if you do need to switch account this is a VERY good time to start using a password manager to store all login credentials etc (Bitwarden is a free, open source and very good solution - im in no way affiliated) this way in future you can see at a glance what email you've used for different accounts and its easy to have secure and separate passwords for everything.

We will not be using Google as a host. Google currently assumes liability for content. Self-hosting, it's on us. Additionally, any self-hosting/alternate hosting we go to is going to cost a lot of time (from our Technology directors) -- not just set up, but maintenance. We all work as volunteers. The Tech guys can say it better, and please correct me if I'm wrong @Mendo Cath or @Deoan Kakarot. But there's way more to it than just setting it up and hoping it all merrily works. The amount of work someone would have to do if our email gets flagged as spam because of 1 user account and then mail handling our notifications or website stuff gets blocked -- just not worth.

Our focus right now is making sure we have email accounts to handle TarValon.Net functions. Not because we don't want site members to have an email address. But because we need them to function. If Google weren't going to a paid model that's so freaking expensive, we wouldn't need to look at alternate solutions. But they are. So we have to. And it sucks.

I meant included in website hosting not email. Many website hosting packages (not all) include basic SMTP so the website can send email and can setup forwarding/catch all rules for email addresses. The Tech guys will know all this though so yeah let them deal with it.

Does anyone know an easy way to back up an entire email inbox to somewhere else?

Thanks! I was able to use that as a starting point, but the instructions were a little old compared to the interface. My steps:
  1. Go to https://myaccount.google.com/ and log into your account.
  2. Choose "Data & Privacy" from the navigation menu (left-hand side on desktop) or "Manage your data & privacy" (link under the "Privacy & personalization" card (center on desktop)
  3. Scroll down to the "Download or delete your data" card and choose "Download your data"
  4. Hit "Deselct all" as you probably don't use the majority of the products.
  5. Scroll through and check the boxes for the content you want to back up, such as Calendar, Contacts, Drive, Google Photos, Hangouts, Mail, Reminders, Tasks, and Voice.
  6. At the bottom, click "Next Step"
  7. Choose your export frequency, file type, and maximum file size.
  8. "Create export"
  9. Wait until it finishes, which will take more time depending on how big your file is. Once it's done, it will take you to a new screen with a download button.
  10. Verify your login information.
  11. Save the file on your computer.
If you'd like to review email messages later, you'll need to use an email client. Google has instructions here: https://support.google.com/vault/answer/11030695?hl=en

Edit: I found a way to theoretically transfer emails from one Gmail account to another. However, I'm having problems making it work.

@Mendo Cath or @Deoan Kakarot are you able to help? It's asking for the POP username and POP server, and the defaults (elania and mail.tarvalon.net) result in this message: "Gmail couldn't identify your POP server."
